EXECUTIVE ASSISTANT - ROLE OVERVIEW

Kwik Lok’s Executive Assistant provides high-level administrative support to the President/CEO at our Corporate Office in Yakima, Washington. This is an exciting role that requires a highly organized, proactive, and discreet individual with excellent communication and interpersonal skills. This position supports Kwik Lok production activities through the manufacture of Kwik Lok closures with a focus on continuing improvement of quality, food safety, and manufacturing processes.

POSITION RESPONSIBILITIES AND RESULTS

Executive Support:

  • Monitor CEO email inbox and manage calendar.
  • Screen calls and visitors on behalf of the CEO.
  • Coordinate Leadership Team meetings and travel arrangements; Prepare and distribute required meeting agendas and associated materials, take meeting minutes.
  • Oversee CEO travel needs; collaborating with Administrative Assistant to schedule domestic and international travel and lodging arrangements, meetings and appointments, and provide CEO with accurate itineraries.
  • Lead coordination of company retreats; attend company retreats and other events as required.
  • Manage CEO project coordination (research, data analysis, report preparation, etc.) as requested.

Board of Directors Support:

  • Coordinate board meeting dates and travel arrangements for the Board of Directors and subsidiary boards; Prepare and distribute required meeting agendas and associated materials, take meeting minutes.

Administrative Support:

  • Maintain confidential files.
  • Collaborate with legal counsel on record maintenance.
  • Track and file patents and trademarks.
  • Oversee contract agreement and development, review, tracking, and approval.
  • Manage the Employee Recognition Program for all plants.
  • Keep minutes for 401(k) meetings.
  • Support public relations efforts and special events as requested.
  • Maintain strict confidentiality continuously.

REQUIRED QUALIFICATIONS

Education & Experience:

  • High school diploma or GED, and eight years executive office experience, or BA degree in Business and six years executive office experience.

Knowledge:

    • Advanced proficiency in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint, etc.).
    • Skilled in taking accurate and concise meeting minutes.
    • Familiar with electronic filing systems.
    • Experience coordinating domestic and international travel arrangements.
    • Must be able to pass pre-employment drug and background screenings.
    • Must be legally authorized to work in the United States without sponsorship.

    ALL THE DETAILS…

    • Pay scale: $31.25 to $40.86 an hour, commensurate with experience
    • Insurance Benefits: Medical, Dental, Vision, Prescription, Life and Disability Insurance plans (60 day waiting period)
    • Retirement Benefits: 401K Plan with company match (90 day waiting period - restrictions apply)
    • Paid Time Off: (90 day waiting period, prorated for first year)
      • Vacation: 120 hours a year, with increases based on years of service
      • Holidays: 70 hours a year (8.5 days): 1 Floating Holiday, New Year’s Day, Memorial Day, Independence Day, Labor Day, Thanksgiving Day and the Friday following, half day on Christmas Eve, and Christmas Day
      • Sick Leave: 40 hours a year, accrued at 1 hour per 40 hours worked for hourly employees, salary employees prorated for first year
    • Other Compensation: Employees may be eligible for annual performance bonuses
    • Schedule: Monday through Friday, 8:00am to 5:00pm, with occasional overtime as required.
    • Travel: This position requires occasional travel to attend required off-site meetings.
    • Location: In-office in Yakima, Washington.
    • Work environment:
      • Regularly sitting and/or standing at a computer.
      • Noise level in office environment 10dB, 85-95 dB in production environment.
      • Occasionally bends, squats, reaches, kneels, and may lift up to 10 lbs. on occasion. Constantly seeing, hearing, talking.
